Benefits of Performing Internal Audits to Quality Management Systems

Greetings dear fellow members of the "Project Hope" community, I hope everyone is doing well, it is a pleasure to share with you this post, this time I want to present a topic that I consider very important for all those companies that work under quality standards, I want to talk about the benefits for organizations to perform internal audits to review their quality management system.

In my personal experience, I can tell you that I was Quality Coordinator for a company for eleven years, when I started they were in the process of making the documentation of the management system, and one of the mistakes that were made at the beginning, was not having an effective internal audit, the quality management system was reviewed in depth with an external audit to obtain accreditation, which resulted in the detection of a large number of nonconformities that could be detected in an internal audit and corrected before the external evaluation was performed, which delayed the accreditation.

Considering the results obtained, the top management gave due importance to the internal audits and decided to provide the necessary resources to perform them, which included forming a team of internal auditors, composed of employees who were properly trained to meet the profile of internal auditor, others participated as technical experts who served as support to the internal auditors, all this allowed to review very well the quality management system, detect nonconformities and take appropriate corrective actions, ensuring a better result in the external audit and thus finally obtaining accreditation.

That is why I felt the motivation to raise the benefits of conducting internal quality audits. It is important to note that an internal audit is a management method used in organizations to examine the effectiveness of their quality management system according to the requirements established in the ISO 9000: 2015 standard, with the purpose of proposing improvements in their policies and objectives. Internal audits ensure the implementation and maintenance of the quality management system in an adequate manner.

Among the main benefits we can highlight the following:

  1. It favors to achieve a comparison of the procedures of the quality management system documented in the organization, with the activities that are being carried out and that are observed by the auditors. It is possible to detect those cases in which, due to customer requirements or regulations, activities have been modified without the new way of working having been updated in the documentation.

  2. It improves internal communication in the organization, since through the meetings that must be held to report the findings of the audit, it promotes that the staff is aware of both their activities and those of their co-workers.

  3. Recognizes deficiencies in the way the different processes of the organization have been defined.

  4. Finds potentially serious issues that could result in sanctions to the organization in case of non-compliance.

  5. The detected nonconformities give rise to corrective and preventive actions to solve the problem.

  6. It raises recommendations to improve the processes.

  7. Encourages continuous improvement in the organization's processes.

To conclude, I could say that in most organizations internal audits are seen as an obligation, without stopping to think about the great benefits that can bring considering to perform them in the right way.

Internal audits allow the managers responsible for the organization to make the appropriate decisions considering the quality management situation evidenced by such audits, with the intention of making the pertinent reorientations if necessary, in order to meet the proposed objectives.

The benefits of internal GSC audits are key to organizations for the benefits they provide to them in order to implement a GSC.
Mostly organizations and their managers don't know it or just don't give it the importance they deserve.
It is very common to find organizations that do internal GSC audits to meet a requirement or to achieve certification.
Among the benefits provided by internal audits, you could also add that they provide information for the elaboration of the corrective action plan and include the activities necessary to achieve continuous improvement and customer satisfaction.
