How I Managed The Timeline & Milestones
Hey everyone!
Before I provide the sweet details about our event introducing HIVE, I want to discuss our project timeline more as a reminder that our offline event isn’t the end of our project.
Our Timeline
I will also make some personal notes here to address a few things that I think are necessary. I also think it’s best to talk about it again since I’ve noticed it’s only garnering more attention now.
So, let’s go back to where it all started, where we have reached some milestones and phases.
I am sharing this to create transparency, learn together , and report on everything I have done in the last few months.
If there’s a left and right brain to an event, I am honestly the left brain, and the creatives come from the @menulisid team. My strong suit has always been analytical, organizational, and strategic thinking which I applied to this mini project.
You have my promise that after my final phases are done, I’ll return to posting about my coffee, books, and anything else that interests me. So, without further adieu, let me discuss these details and our timeline.
Project Kick off and Team Coordination
First, I choose the people I work with; I must ensure they have the same goals and ideas as mine before we even work together.
This can all be scrapped if we are not the perfect match in the first meeting, and if I don’t believe in the team, or I don’t think we have the same goals in mind. I am a by-the-book person; what you see is what you get. I have no time for drama and choose to minimize it.
Thankfully, this team that I manage to collaborate with believes in mutual collaboration. Because HIVE awareness is still so low among professionals here, they even stepped up to advise me on the kind of activities that we can organize so that not only it benefits them but also HIVE.
During the first phase, we have these key points :
- Kick Off Meeting
- Defining Success Metrics
- Roles and Responsibilities
- Timeline Finalization
@menulisid brought in four people with different roles, and I am the one dealing with HIVE-related things such as ,how to create an account, and other such things.
After learning about our roles, we finalized our timeline and agenda for our planned events.
We decided that an online event with a contest would be best to optimize more exposure alongside the offline event which will garner more people and especially founders of different local communities.
Research & Resource Gathering
In this phase, we’re spending our time on budgeting, researching vendors, developing the event module, presentation, and our resource library, which will include graphic needs and written materials that will be distributed to the attendees both online and offline.
I spent hours researching this and spent my money to find the right vendors for the printed materials.
Some things that I made publicly available, such as the graphics, are actually free to use in case you need to organize an event.
Offline event planning
Since our activities aren’t only online, we need more phases to finalize the events and activities, including dealing with the additional speaker of the event. Since they are outside Hive, more should be discussed; we curate the speakers among several candidates whose expertise matches our theme and connects to HIVE messaging as a platform that offers freedom of speech, a place for creatives to thrive etc.
We found one speaker whose messaging fits HIVE, such as improving writing and finding ideas in the age of AI. The speaker we curated was so fitting with our messaging and ideas and I am so glad it went well.
Our venue was also curated from several choices that we found suitable for our budget and the kind of event we’re organizing.
During this phase, we also finalized the activities and made sure that we followed the designated timetable and ensuring our mechandise arrived on time and has no faulty in it.
Program launch and execution
In this project, we have our online activities, which can be seen on our YouTube channel and @menulisid team, where you can see some of the content the participants produced. It was their first entry exploring web3 and HIVE.
Our offline activity report is still ongoing, but you can see some of the snippets in this tweet or the re-blogs in my account.
After this phase, there’s follow-up and feedback, during which I’ll share all the data and analytics about the event. The surveys aren’t done yet, so I need more data than our ones gathered. I am waiting for more data submission and once our media stuff is finalized, I’ll share it with you all as a part of our reporting and analysis.

The translation is basically these
- An independent Hive event with more booths and explanations.
- Maybe hold events more frequently and promote them so more people know about Hive.
- Wishing Hive even more success!
- Please organize events like this again.
- Organize online sessions or Zoom meetings to get to know HIVE more.
Post-program & Follow-up
The final phase is basically reporting and analysis based on our actions. This will be the final part before we end the project and close this chapter. I will be sharing the budget and itemized cost as I am also still doing accounting work.
The follow-up concerns with ways of maintaining momentum with HIVE awareness. It’s time for them to learn more about Hive more and I’ve set up an account called @learntohive, where I’ll share tutorials and guides in the audience’s language, Bahasa Indonesia.
It’s a lot of work, details, planning, and time. Such an event with both online and offline activities doesn’t happen overnight or in a week. Its planning takes around 3 months and it’s also the first event in the country, and I learned so much from it personally. Since a lot of us have jobs outside all these, we always meet every Sunday to update the progress and rarely during working days.
Now, I have some libraries and resources, especially for printed materials. If the community decides to trust me again with a similar project, it would be much easier to move forward and cut some of the research phase shorter.
I personally carefully put so much details even our messaging too. There’s a lot of careful consideration involved and tailored messaging as well with the hope that this event was well-received and we can welcome new people to HIVE.
